EMIS (Education Management Information System) is the statewide data collection system for Ohio’s primary and secondary education system. Staff, student, district, building, and financial data are collected through this system.
The Data Specialist receives all EMIS correspondence from the Ohio Department of Education, disseminates information to the appropriate persons within the district, and ensures that EMIS data is collected and reported in accordance with the ODE EMIS guidelines on behalf of the district.
The Student Information (SI) software application allows building staff within the district to collect, store, and manage data pertaining to the students within their buildings. Once all student data is input at the building level, it is then electronically transferred from Student Information (SI) to the EMIS database. The Data Specialist has the capability of verifying student-level data and running error reports in Student Information for each building from the central office before transferring. The types of data that are verified for completeness and accuracy include demographics, attendance, program codes, attending situations, entry and withdrawal codes, courses, discipline, and assessments. The Data Specialist also works with other support personnel such as the gifted, special education, Title I, curriculum coordinators, and high school support staff to ensure that data is being reported correctly for all of these special situations.
Student, staff, and district data is submitted via EMIS to the Ohio Department of Education (ODE) regularly. After each weekly data submission, various verification and error reports are generated by ODE and released to the Data Specialist via MVECA, our Information Technology Center (ITC). Using these reports, adjustments to data are made on an ongoing basis throughout each reporting period as needed by both building staff and the EMIS Coordinator.
The Data Specialist is responsible for coordinating the training of building staff on the use of the Student Information software, as well as communicating, disseminating, and distributing EMIS information as needed to all affected district personnel. Treasurer’s department personnel creates and maintains all staff records in the fiscal software, and works with the Data Specialist to effect the reporting of those records in EMIS.
